Service Description

We provide automated compliance scanning services for UK school websites, checking for Ofsted requirements and generating detailed reports.

Acceptable Use

You agree to use our service only for:

  • Legitimate school compliance checking
  • Educational institution websites you own or have permission to scan
  • Compliance with applicable laws and regulations

Service Level Agreement

We commit to:

  • Single School: Delivery within 48 hours
  • MAT (Multi-Academy Trust): Delivery within 7 days
  • Auto-refund if we miss these deadlines

Payment Terms

We offer two payment options: one-time scans (£15) and annual subscriptions (£75/year). Payment is processed securely through Stripe. Invoices are provided upon request.

Annual Subscription Terms

Subscription Coverage

Our Annual Unlimited Subscription (£75/year) provides unlimited compliance scans for ONE school website domain for 12 months from the date of purchase.

  • Unlimited scans for your locked school domain
  • 5 team member seats included (additional seats £29/year each)
  • All 29 DfE compliance checks with quality indicators
  • PDF policy analysis and reporting
  • Priority email support

Domain Locking Policy

Single School subscriptions are limited to scanning ONE school website domain. Your subscription will be automatically locked to the first school domain you scan after purchase.

To scan a different school's website, you must either:

  • Purchase a separate annual subscription (£75/year) for that school
  • Purchase a one-time scan (£15) for that school
  • Contact support for domain change approval (maximum once per year for legitimate cases such as website migrations or school mergers)

Team Access

Primary subscribers may invite up to 5 team members at no additional cost. Additional team members can be added for £29/year per seat.

  • Only the primary subscriber (original purchaser) can add or remove team members
  • Team member access ends when removed by primary subscriber or when subscription expires
  • All team members can run scans and view scan history for the locked domain

Manual Renewal Policy

Important: Subscriptions do NOT automatically renew. You will receive renewal reminder emails 30 days and 7 days before your subscription expires.

  • To continue service after expiry, you must manually renew your subscription
  • Renewal price: £299/year (current pricing, subject to change)
  • No automatic charges will be made without your explicit action

Cancellation and Expiry

You may stop using the subscription service at any time. Simply do not renew when your subscription period ends.

After your subscription expires:

  • You can view old scan results for 90 days
  • You cannot run new scans
  • Team member access is revoked immediately
  • After 90 days, results are archived (contact support to retrieve)

Refund Policy for Subscriptions

Within 30 days of initial purchase:

  • If you have completed fewer than 3 scans: Full refund (£299)
  • If you have completed 3 or more scans: We will downgrade you to a one-time scan purchase (refund £150, you keep the original £149 value)

After 30 days: No refunds. Subscription runs to completion of current period.

Upgrade from One-Time Scan

Customers who purchase a one-time scan (£149) may upgrade to an Annual Unlimited subscription within 90 days:

  • Upgrade cost: £150 additional payment (we credit your original £149)
  • Total subscription cost: £299 (£149 original + £150 upgrade)
  • Subscription period: 12 months from upgrade date (not backdated to original purchase)
  • Your original scan remains accessible
  • After 90 days: Upgrade credit expires, annual subscriptions cost £299 with no credit

Payment Failures and Grace Periods

If a subscription renewal payment fails (for example, due to an expired card):

  • We will attempt to process payment 3 times over 7 days
  • You will receive email notifications to update your payment method
  • During the 7-day grace period, you retain access to scan your domain
  • After 7 days without successful payment, your subscription will be suspended
  • Update your payment method via the Stripe Customer Portal to reactivate

Acceptable Use for Subscriptions

While scans are unlimited for your locked domain, we prohibit:

  • Scanning multiple unrelated school websites on a single-school subscription
  • Commercial resale of scan results or reports
  • Excessive automated scanning (more than 100 scans per day)
  • Sharing of access credentials outside your school team

Violation of these terms may result in immediate subscription suspension without refund.

Intellectual Property

You retain ownership of your website content. Our reports are provided for your use but remain our intellectual property.

Limitation of Liability

Our service is provided "as is" for informational purposes. We are not liable for any decisions made based on our reports or any compliance issues.

Data Protection

We process your data in accordance with our Privacy Policy and applicable data protection laws.

Termination

Either party may terminate this agreement with written notice. Upon termination, we will delete your data within 30 days.

Governing Law

These terms are governed by the laws of England and Wales. Any disputes will be resolved through appropriate legal channels.
